COACHING CONTRACT TERMS AND CONDITIONS - FOR PRIVATE CLIENTS
Setting the context
The areas of scope in the coaching context include:
- Creating a safe, non-judgemental and confidential space for the interactive exploration of your goals.
- Coaching towards a greater sense of clarity, aligned with who you are and what is truly important to you.
- The clarification and alignment of core values with updated, empowering beliefs will be of added benefit. Coaching towards congruence to achieve the next level of your vision, with increased motivation, breaking free from any real or perceived limitations from the past.
- Identifying and building on your strengths, enhancing your confidence and self-belief, to be and to feel at your best more often.
- Deeper insights developed by using NLP (Neuro-Linguistic Programming), mBIT/mBraining (Multiple Brain Integration Technique), transactional analysis and pure life and executive coaching tools, combined with other structured models, DISC theory* and Applied Neuroscience for coaching purposes, leading to tactical and tangible actions that are true to who you are. Please note: Access to just one at a time, or all of the modalities at your service, is dependent on the tailored package you opt for.
- An engaged and authentic approach to action planning, and integration into your lived experience between sessions, that informs lessons learnt and your strategy moving forward, further optimising your choices and behaviour towards your desired outcomes.
- Developing your response-mechanisms and tools to help maintain and build on the achieved outcomes, while truly appreciating what has already been achieved. Cultivating your sense of inner balance and inner peace for a more sustainable way of increasing and managing your energy.
- Our coaching strategy will also take into account your unique needs and nervous system. Developing and/or re-establishing healthy boundaries in support of your goals will be beneficial.
*Please note DISC profiling as optional, individual assessment with a bespoke behavioural analysis in the workplace, is an additional service on request with a one-off fee attached. You can read about separately on the website and it is not included by default in your 1:1 coaching package. Should you wish to include this, please ask for further details.
 The above observations at the start of the engagement are subject to change due to the highly bespoke and emergent nature of this service. The process is tailored specifically to the client’s needs in real time of the coaching activity.
Please note that coaching is a non-directive, non-advisory approach and therefore guarantees no specific results. Participants receiving the service take full responsibility for their own results. The coach is there to awaken their inner wisdom, widen their perspective and empower them with a sense of choice, to help find their own solutions and take constructive actions towards their goals. The accountability remains with the participant receiving coaching to own their actions and learning throughout the process.

Fees and payments:
The client chooses their preferred coaching package at the point of payment, either opting for single modality or premium services. All current fees and payments terms are updated on our website regularly. Please see current offers available at www.thinktransformation.org or ask for further details for a bespoke proposal package tailored to your needs.
Premium Coaching defined as:Â all modalities Katalin can offer available within the same cycle, tailored to client needs (NLP, mBIT, EFT, pure life and executive coaching tools included).
Single Modality Coaching defined as:Â one modality chosen by the client from the available option.
The coaching fees are the same for both in-person and/or online delivery.
Additional cost considerations for private clients:
Private clients’ contributions to travel and/or other expenses are to be agreed on a case-by-case basis. Private clients to provide a suitable, confidential office space for in-person delivery of 1:1s when safe to do so, at no extra cost to Think Transformation please.
Payments required in advance, either in full for a block of your sessions, or via monthly installations. Flexible payment methods available – via direct bank transfer (preferred), credit/debit card or PayPal.
The published terms and conditions, including pricing options are subject to review periodically.
Any changes beyond the current agreement already under way, will be communicated with reasonable notice and subsequent agreed activity would form part of a new coaching contract.
Scheduling and delivery terms
Tracking delivery activity is the responsibility of the coach/ Think Transformation.
Clients to respond within reasonable timeframes to scheduling requests please. We kindly ask your response time to remain within 10 working days from the last received communication for effective planning please.
The production of content and printed materials is covered by Think Transformation.
Number of sessions:
Packages start with 6 sessions per coaching cycle, and then another 6 if deemed necessary and subject to agreement by the sponsor/client.
Regularity of Sessions:
Regularity and frequency of sessions averages every 4 to 6 weeks, however this is tailored to the client’s needs and therefore may be more or less frequent.
It is anticipated one cycle of coaching will be delivered for the new participant within 6 to 12 months from the start of the engagement and should not normally exceed 18 months. The timeframes are dependent on mutual availability between coach and client.
 Scheduled review points periodically will be in place for feedback, and to check and agree additional cycles of 1:1 coaching and cost impact. The recommended review points are on the completion of a cycle. Review points should not normally interrupt ongoing cycles under way, they should be honoured to completion.
 Scheduling of sessions:
Session dates are agreed in advance, normally at 90 mins per session. If by telephone, it will be one hour maximum. Face to face or online sessions may extend to 2 hours maximum, based on mutual contracting agreement.
Sessions will be scheduled at a mutually agreed time; the client is responsible for maintaining their own diary and reminders for scheduled sessions.
Procedure:
It is likely that most sessions will be delivered online by agreement, meeting at a pre-arranged time and using a suitable pre-agreed platform for this. The online mode of attendance has the same impact as in person sessions. The coach provides the details for the client to access the online coaching space.
For in person sessions, the client and coach will meet at a pre-arranged time and location when safe to do so in the context of the COVID19 pandemic. (In the absence of such time, all sessions will be delivered remotely.)
Recognising the impact of the COVID19 pandemic, we would work within the government guidelines and the client’s policies and procedures to ensure safe working practices. With due diligence in mind, all parties accept this may impact on delivery timescales.
The client must be committed to achieving their goals and active in working towards them between sessions.
Communication between coaching sessions:
 A single email exchange between sessions is included in the coaching cycle for reflective practice or for the client to keep the coach informed about new developments.
Session Records:
The client is responsible for maintaining their own notes during sessions and capturing their own chosen actions. The coach does not provide her notes by default. If the client seeks the detailed notes of their coach, please note this comes at an extra cost. Currently this is at ÂŁ60 + VAT per session to administer.
The sessions are strictly not audio or video recorded by default. Should this change on the client’s request, associated additional terms apply, including an explicit written and signed consent form from the client permitting such records, and/or, an AI note-taking facility being put in place. Please ask for details.
Changes:
Re-scheduling or cancellations of appointments should be done at least 48 working hours before the planned date, otherwise full payment is due.
Postponed sessions to be re-scheduled and the new appointment confirmed at least 5 working days prior to their due delivery please.
If the coachee is late for a session, the coach will wait for 15 minutes and the session will complete at the scheduled time, unless agreed otherwise. Without prior notice within the cancellation/ postponement terms, no show is charged in full.

Feedback:
If participants have any feedback with the way the coaching is working, they should advise the coach as soon as possible directly. For the work together to be effective, the coach must be alerted to any points of concern.
The coach may at times challenge the coachee's thinking if it is deemed in their best interests. If the coachee is uncomfortable with this, or anything else in the session, they must let the coach know immediately.
 Refunds
Beyond the 14-day cooling off period from the date of the signed contract and/or online opt-in and payment, a strictly no refunds policy applies. In case of a genuine emergency an alternative session may be arranged within a reasonable timeframe; the coach’s discretion applies and will act with integrity, and with reasonable adjustments wherever possible.
 A strictly no refunds policy also applies to the early termination of agreed coaching cycles.
Termination
Either client or coach may terminate the coaching contract at any time, by giving 1 month notice.
 Confidentiality
The coach recognises that anything the client shares with them is regarded as confidential, whether it is business or personal information. The coach undertakes not to, at any time, either directly or indirectly, use or disclose any information that the client shares with them during their sessions unless legally required to do so, and except where the coach has concerns for individual safety, the safety of others, negative legal impact or by prior agreement with the client.
Coach’s objectives
To act as a detached, independent thinker enabling the client to address their objectives by helping the client to work out for themselves how to achieve them and the actions they will take.
The coach provides focused coaching sessions combined with DISC theory, advanced NLP, mBIT/mBraining and Applied Neuroscience for coaching purposes, and/or EFT tapping, designed to facilitate the development of personal and professional goals of participating coachees, and to support the development of a strategy for moving towards these goals.
The coach and coachee(s) agree to be open and honest with each other in order to achieve change and growth with a collaborative approach to learning.
The coach will sometimes need to make notes during the session in order to accurately refer back to key aspects of the session and augment their memory. These notes will be stored safely and confidentially within the guidelines of the General Data Protection Regulation. Clients are responsible for their own notes and listing/tracking their actions for themselves. The coach will not share their own notes with the client, unless this is requested; please note this attracts an additional cost.
The coach adheres to ethical standards, including that of the Association of Neuro-Linguistic Programming (ANLP), International Coaching Federation (ICF), the International NLP Trainers Association (INLPTA), and EFT International (EFTi).
Legalities
Think Transformation will maintain its business professional indemnity insurance and compliance with regard to the General Data Protection Regulation.
The sponsor, client (and all additional coachees, if applicable), are required to agree to the Privacy Notice in the Appendix please.

The client (“coachee”) enters into this agreement with the knowledge that they are responsible for their own results and no guarantees or warranties are given.
The client understands that coaching is not mentoring, counselling, advice giving or any form of therapy and is not substitute for obtaining advice, let that be legal, medical, financial or other.
The coachee notes that coaching is a non-directive, non-advisory approach and therefore guarantees no specific results. Clients (“coaches”) receiving the service take full responsibility for their own results. The coach is there to awaken their inner wisdom, widen their perspective and empower them with a sense of choice, to help find their own solutions and take constructive actions towards their goals. The accountability remains with the client (“coachee”) receiving coaching to own their actions and learning throughout the process.
The client (“coachee”) is responsible for their development at all times, and agrees to being committed to change by following up on actions agreed during the sessions.
The private client agrees that the coaching contract and associated terms and conditions discussed above, the privacy notice, and general terms of business of Think Transformation apply altogether, and they are not mutually exclusive.

PRIVACY NOTICE
Think Transformation Ltd is compliant with the General Data Protection Regulation (GDPR) in effect from 25th May 2018.
We are seeking your explicit consent to data processing and storage for the time-limited period of the coaching and/or EFT relationships, and any period thereafter deemed necessary for legitimate purposes.
What information is collected?
Name, personal and/or company address, telephone number(s), email address. Logistical information of the coaching and/or EFT sessions (date, time, location). Some confidential notes of the sessions will be held.
The grounds for processing and storage of your personal information:
The data is necessary in order to enable the process of the coaching and/or EFT relationship, which we have agreed is appropriate for you. Coaches/EFT practitioners often need to augment their memory of sessions by the use of confidential notes. Storage will only last as necessary for the purpose for which it was collected, after which time it will be securely destroyed.
Storage and access:
The data will be stored securely in accordance with the standards of GDPR and it will not generally be disclosed to third parties unless there is a legal obligation to do so. The exception is professional consultation about the work that is ongoing, known as “mentoring” and/or “supervision”, which necessitates the discussion of some anonymised information in a confidential setting. This will take place without disclosure of participant’s full details.
Your rights:
- Right to request a copy of the information stored by Timea Katalin Marton at Think Transformation Ltd.
- Right to rectification if there is any inaccurate information held.
- Right to withdraw consent at a later date.
- Right to erasure: participants may request that their personal information is erased, unless there is a lawful reason for not doing so. This might lead to review of the continuation of their coaching and/or EFT relationship.
- Right to complain or ask questions about processing data by contacting the Information Commissioner at https://ico.org.uk/make-a-complaint/ or 0303 123 1113.
